The Professional Meeting and Training Planner's Checklist

A practical, timeline-based checklist for planning a corporate meeting or team training that runs smoothly and delivers results.

Corporate meetings and training sessions fail in predictable ways: the AV setup runs long, the agenda is over-stuffed, the catering arrives late, and no one confirmed who owns the follow-up. Most of those failures are preventable with a checklist and a clear timeline. This is the planning checklist we'd give any client booking with us.

8 to 12 Weeks Out

Set the meeting objective. What does success look like? Write it down before anything else.

Confirm date, time, and venue. Secure the space early. Professional spaces book out weeks in advance.

Estimate attendee count. Build in a 10 to 15 percent buffer above your confirmed list.

Set the budget. Allocate by category: venue, AV, catering, logistics, speaker fees, materials.

Assign an internal point of contact. One person owns the event from brief to debrief.

4 to 6 Weeks Out

Finalize the agenda. Build a run-of-show with 15-minute buffers between sessions.

Confirm speakers and presenters. Get bios, AV requirements, and talking points in writing.

Send invitations and calendar holds. Include parking info, entry instructions, and dress code.

Book catering. Confirm dietary restrictions with RSVPs and brief your caterer on final counts.

Arrange signage and printed materials. Order with lead time for revisions.

2 Weeks Out

Do a full venue walkthrough. Confirm layout, AV setup, entry logistics, and attendant availability.

Confirm final attendee count with the venue. Adjust catering accordingly.

Prep the follow-up materials. Slide decks, action item templates, and survey links should be ready now.

Assign day-of roles. Who greets guests? Who manages registration? Who handles AV?

48 Hours Out

Send a reminder with arrival details. Parking instructions, entry procedures, and dress code.

Confirm all vendor arrivals. Caterer, AV technician, and speakers all confirmed in writing.

Print backup copies of everything. Agenda and name badges.

Day Of

Arrive 60 to 90 minutes early. This is non-negotiable.

Test all AV before guests arrive. Every connection, every display, every microphone.

Brief your on-site attendant. Walk through the run-of-show together before doors open.

Welcome guests at the door. The first impression sets the tone for the entire meeting.

After the Meeting

Send a follow-up within 24 hours. Include key decisions, action items, and any promised resources.

Send the post-session survey. Keep it under five questions for maximum response rate.

Document what worked and what didn't. Your future planning will be better for it.
