The Complete Checklist for Planning a Professional Workshop or Team Meeting

A practical, timeline-based planning checklist for professional workshops, training sessions, and team meetings — so nothing falls through the cracks.

Professional workshops and team meetings fail in predictable ways: the agenda is over-packed, the AV setup eats the first 20 minutes, the materials weren't printed, and the follow-up never happened. Most of those failures are entirely preventable. This checklist covers the universal planning foundation so your next session runs the way it was designed to.

6 to 8 Weeks Out (For Events Over 30 People)

Define the purpose and outcome. What should participants be able to do, know, or feel differently by the end? Write it down before anything else.

Set a realistic budget. Include a 15 percent contingency buffer from the start.

Choose and book the space. Confirm dates, capacity, layout flexibility, and what's included in the rate.

Identify your facilitator and speakers. Confirm availability and brief them on the purpose and audience.

Build the guest list and registration process. Decide your platform, deadlines, and confirmation sequence.

4 to 6 Weeks Out

Send invitations. Include all logistics: address, parking, dress code, and schedule overview.

Confirm facilitator requirements. AV needs, room setup preferences, timing, and materials.

Draft the run-of-show. A minute-by-minute timeline with buffer time built in.

Plan the room configuration. Map out the layout with your venue contact.

2 Weeks Out

Do a venue walkthrough. Confirm every logistical detail in person.

Finalize attendee count. Give updated numbers to your venue and any food providers.

Prep all session materials. Handouts, slide decks, name badges, and signage.

Assign day-of responsibilities. Every task needs a named owner.

48 Hours Out

Send a final reminder to attendees. Parking info, entry logistics, and session schedule.

Brief all staff and vendors. Share the run-of-show with everyone involved.

Print backups of everything critical. Agenda, check-in lists, and materials.

Day Of

Arrive 60 to 90 minutes early. Always.

Test all technology. AV, projector, Wi-Fi, and microphones before anyone arrives.

Brief your on-site team. Walk through roles and the run-of-show together.

After the Session
